WhatsApp Business API in South Africa: what it costs and what it takes

Short answer: the WhatsApp Business API is not an app you install. It is access to WhatsApp's messaging platform for software, which means something has to be built or configured on top of it before it does anything useful. Meta charges for the messages your business starts, and there is no monthly fee to Meta itself.

SYSTEM runs this setup on its own operations, so what follows is what it actually involves rather than what a sales page says.

The three things people call the same name

  • WhatsApp Messenger: the app on your phone. Free, personal, one device history.
  • WhatsApp Business app: a free separate app with a catalogue, quick replies and labels. Fine for a one-person business. It cannot be connected to other software properly and it does not scale past one or two people.
  • WhatsApp Business Platform, commonly called the API: the version software connects to. Multiple people can work one number, conversations can flow into a CRM, and automated replies are possible. This is the one that costs money.

How Meta charges

Meta does not sell you a monthly subscription. It charges for messages your business initiates, priced by category, and the rates differ by country. In broad terms:

  • Messages a customer starts, and your replies inside the service window, are generally free.
  • Marketing messages you send out cost the most per message.
  • Utility messages, such as an order or delivery update, cost less.
  • Authentication messages, such as a one-time code, are priced separately again.

Meta has changed this pricing model more than once, and South African rates move. We will not print a rand figure here that is stale in three months. Check Meta's current price list for South Africa before you budget, and treat any provider quoting you a fixed per-message rate as adding a margin on top of Meta's.

On top of Meta's message charges sits whoever provides your access. Some providers charge a platform fee, some mark up each message, some do both. Ask which, in writing, before you sign.

What you need before you can start

  • A phone number that is not currently active on WhatsApp Messenger or the WhatsApp Business app. If it is, it has to be migrated or released first.
  • A Meta Business account, with your business verified. Verification asks for proof the business is real: registration documents and a matching business name are the usual sticking point.
  • A display name that follows Meta's naming rules. Names that read like a slogan get rejected.
  • Message templates submitted and approved for anything you send first, before a customer has messaged you.
  • Somewhere for the conversations to land. Without this you have automated a message into a void.

Verification is where most South African applications stall, usually because the business name on the Meta account does not match the CIPC registration exactly, or the supporting document is a screenshot rather than an issued document.

The part nobody quotes on

Getting the number live is the easy half. The half that decides whether it earns anything is what the assistant asks, what it does with the answer, and who picks it up when it goes wrong.

An assistant that greets people and then hands them a form is worse than a person who replies late. The intake has to ask the questions your business actually quotes on, record them the same way every time, and put the enquiry in front of a human with the detail already gathered.

What it does not fix

  • It does not create demand. If your phone is quiet, better intake keeps it quiet.
  • It does not remove the need to follow up. Automated follow-up helps; nobody replying at all does not.
  • It does not exempt you from POPIA. You need a lawful basis to message people, and an opt-out that works.

The honest recommendation

If you are one person with a phone, use the free WhatsApp Business app until it hurts. When enquiries are landing outside working hours, when more than one person needs the same number, or when you cannot tell how many enquiries you lost last month, that is when the Platform pays for itself.
