Where we operate
Founder-led from eMalahleni, Mpumalanga. Active service area: South Africa, remote-delivered; based in eMalahleni, Mpumalanga.
Some processors are outside South Africa (Meta/WhatsApp, Vapi, Notion, Google). We use them to deliver the service. Detail is in the subprocessors list below. A data-processing agreement can be signed if you need one.
POPIA compliance
We process personal information in line with the Protection of Personal Information Act, 2013 (POPIA). For our own website, sales, billing and support we act as Responsible Party. Where we process your leads or customers only on your instructions, you are generally the Responsible Party and we act as an Operator.
You can request access, correction or deletion of your personal information at any time by emailing the founder directly. We handle requests promptly and within any applicable statutory period, and may lawfully retain records where legal, tax, accounting, dispute or fraud-prevention obligations require it.
Full policy: Privacy Policy (POPIA) and Master Service Terms.
Data handling in practice
- Lead form submissions are stored in a managed Postgres database with encryption at rest and in transit provided by that platform.
- Admin access needs a named admin account plus a second sign-in step (an authenticator app code). There is no shared password or master link.
- Transactional emails use a verified custom domain (systemsa.co.za) with SPF, DKIM and DMARC.
- Unsubscribe and email suppression are honoured automatically and irreversibly.
- We do not sell or broker personal information. Selected service providers process it only as needed to host, secure, communicate, analyse and support the service.
Subprocessors we rely on
We use a small set of trusted infrastructure providers to deliver the service. Each handles a narrow function:
- Supabase, managed Postgres database and edge functions (lead storage, automation).
- Resend, transactional email delivery from boikanyo@systemsa.co.za.
- Notion, internal CRM mirror of accepted leads (founder access only).
- Google Search Console, organic-search performance monitoring.
- iStorePay, in-person card and phone-tap payments, used only where a payment has been agreed with you in advance. The amount and the agreement it belongs to are confirmed in writing.
- Paystack, card payment processing for the setup fee and the monthly retainer. Payments are confirmed with Paystack directly and never marked paid by hand. If Paystack has a technical fault, an EFT can be agreed in writing as a fallback. It counts only once it has cleared in our bank account and matched your agreement, and bank details come only from your signed agreement or an invoice from SYSTEM.
- Meta / WhatsApp Business Platform, inbound and outbound client messaging via the AI receptionist.
- Vapi, AI voice inference and telephony for voice-based receptionist deployments and the voice demo on this site.
- Vercel, hosting and delivery of this website.
- Cal.com, consultation booking.
Each of these providers processes data under their own published data protection terms. SYSTEM Infrastructure's own operator terms for client data are published in the Master Service Terms. We rely on each provider's standard published data terms and do not hold separately negotiated agreements with them.
We add subprocessors only when a specific job requires it. The list above is current as of 10 October 2026.
What we collect on this site
Forms collect what you type, plus the UTM parameters from your visit (so we know whether outreach is working). We use Google Analytics (IP anonymised) and the Meta Pixel for advertising measurement. Both are gated behind your consent choice: the Meta Pixel is not loaded at all unless you accept, and Google Analytics runs in denied-by-default consent mode until then. We do not use session replay tools.
Cookies are limited to a consent record, basic session state and, if you accept, the analytics and Meta measurement cookies. You can revoke consent from the cookie banner at any time.
Microphone use
The microphone is used only after you start the voice demo. Your browser asks for permission when you press the button to talk to the demo, and no audio is captured before you start that conversation. No other part of this site can use your microphone.
Security & incident contact
If you believe you have found a security issue affecting our site, our forms, or any client data, email boikanyo@systemsa.co.za with the subject Security report.
The founder personally acknowledges within 24 hours and triages within 72 hours. We will keep you informed through resolution.
Verify the people, not just the website
The strongest signal that we are a real operator is the people behind the company. Confirm both:
- Company: LinkedIn page
- Founder: Boikanyo Zulu
Talk to the founder directly
Every client conversation, contract and incident response goes through the founder. No call centres. No outsourced sales team.
